Corporate Social Responsibility at EPG

Our contribution to a more sustainable world

Acting responsibly for a sustainable future

How can logistics software contribute to the topic of sustainability? We are certain: through our customers. Our solutions help companies around the world act more economically, increase their efficiency, and achieve savings. We ensure that the entire supply chain – from production to end customer – is optimised safely and sustainably. With our intelligent software solutions, we make the logistics world a little smarter every day. For logistics employees, we create a pleasant working environment by making sure our systems address ergonomics and intuitive usability. In doing so, we always place great importance on ecological, social, and economic factors to offer all participants in the supply chain the greatest possible benefit.

We involve our more than 1,000 colleagues, who are active worldwide, in our Corporate Social Responsibility strategy. The goal: to achieve a future-oriented and sustainable impact internally, with our customers, partners, and suppliers, as well as in society.

Environmental awareness and environmental management

Environmental awareness and environmental management are central building blocks for a sustainable future. They help to use natural resources responsibly and reduce the ecological impact of human activities. Through targeted measures and more conscious behaviour, companies and private individuals can jointly contribute to protecting our environment. The goal is to align economic action with ecological responsibility. To achieve this, we continuously question our activities and strive for constant optimisation in all areas. As a globally active corporate group, we are aware of our responsibility.

More sustainable air transport with GoGreen Plus

The EPG site in Aachen (topsystem GmbH) used the DHL GoGreen Plus Low Emission Transport Service for air transports in 2025. According to the certificate, the well-to-wheel emissions of the recorded transports were 5.19 tons of CO₂ equivalent (CO₂e) – compared to 6.69 tons of CO₂e for the comparable reference service. Through the use and the accounting allocation of Sustainable Aviation Fuel (SAF), 1.50 tons of CO₂e or 22.37% of the emissions could be reduced. The values shown in the certificate were verified by an independent third party as part of the GoGreen Plus Service.

Values-based action across our supply chains

Our Code of Conduct forms the basis for responsible actions at EPG – toward employees, customers, partners, suppliers, society, and the environment. It defines binding standards for human rights, fair working conditions, data protection, IT security, environmental responsibility, and integrity of conduct.
We at EPG are aware that with our innovative products, we not only have a decisive impact on our customers' supply chains worldwide, but also carry great responsibility for the following areas: the people who work with our software and hardware every day, our employees who constantly develop new ideas and put them into practice, the society of which we are a part, the environment, which is the basis for the life and health of all people and animals. Driven by the desire to optimise the world's supply chains through smart solutions, we also ensure that our own supply chains meet the high standards we uphold as a company. EPG therefore commits to adhering to this Code of Conduct, which is inspired by the following guidelines: Universal Declaration of Human Rights of the United Nations, Convention on the Rights of the Child ("UN Convention on the Rights of the Child"), Convention for the Protection of Human Rights and Fundamental Freedoms ("European Convention on Human Rights"), Conventions of the International Labour Organisation ("ILO Conventions"), OECD Guidelines for Multinational Enterprises, General Data Protection Regulation of the European Union (Regulation (EU) 2016/679, GDPR), and Supply Chain Due Diligence Act of the Federal Republic of Germany)

Human Rights

As an internationally positioned company, we advocate that all people worldwide have the rights set forth in the Universal Declaration of Human Rights of the United Nations and in the Convention for the Protection of Human Rights and Fundamental Freedoms (“European Convention on Human Rights”), regardless of their origin.

Respect for human rights begins with us within our own company. Every employee is encouraged to consider the rights of others in their daily actions and to report incidents in which the rights of others have been restricted or violated.

As a company, we in particular refrain from measures in which other people are unlawfully deprived of land and thus their livelihoods. This applies even if we would only benefit indirectly from such measures.

As EPG, we do not commission suppliers or service providers who do not respect human rights.

Child Labor

Children are an important part when it comes to shaping the future. Therefore, we hold the view that all children have a right to grow up appropriately for their age, to explore the world through play, and to receive the best possible education in order to be prepared for the challenges of tomorrow. In our EPGlinos daycare centre, the children of our employees and our neighborhood have the opportunity to experience this.

Unfortunately, not all children receive such opportunities. Child labor, including child trafficking and hazardous work, is still a serious problem in many regions of the world today. Therefore, we reject any cooperation with suppliers who employ children contrary to the relevant ILO conventions and the UN Convention on the Rights of the Child or benefit from prohibited practices to the detriment of children. Our rejection of child labor also applies even if regional laws allow child labor.

IT Security

More and more of our customers are appreciating the advantages of Software-as-a-Service (also called “SaaS”). In SaaS, the software is not installed on the customer’s IT system; instead, the customer connects via the Internet to the provider’s (e.g., EPG) server on which the software is operated. Thanks to continuously advancing technological development, the market trend is clearly moving in the direction that such complete solutions replace software installations limited to the customer’s location.

We are aware that the outsourced data processing on our servers brings a great responsibility for us. Therefore, we make every effort to meet the trust of our customers, who not only run business-critical processes via our IT infrastructure but also entrust us with important, often sensitive data so that it can be processed by us.

That is why, as an IT company, we place a particularly high value on IT security. Our server infrastructure meets the most current standards and is subject to continuous strict monitoring by internal and external IT experts.

Corruption and Money Laundering

We at EPG oppose every form of corruption. Our products speak for themselves, and therefore we are convinced that we can succeed in a fair competition. Bribery and corruption create an imbalance in the market, which sooner or later harms all market participants. Therefore, even out of our own interest, we tolerate no corruption in our environment.

We are aware that corruption does not always appear as obviously as when cash is handed over to a decision-maker who decides on an important application. Therefore, our employees are prohibited from accepting or giving gifts, benefits, or invitations that exceed the customary local standard. Specific values are set in internal guidelines. In case of doubt, the supervisor or management must be informed.

EPG also rejects any involvement in money laundering or other procedures to obscure the origin of funds.

EPG sees itself as part of society and therefore, as part of its social engagement, also provides donations and sponsorship funds. However, this always occurs in a publicly traceable manner and within the framework of applicable laws.

Consequences of Misconduct

If cases come to our attention in which employees, suppliers, or service providers have not behaved in accordance with this Code of Conduct, we will take the necessary consequences to prevent a continuation or repetition of the misconduct. If required, this also includes terminating the contractual relationship with the employee, supplier, or service provider. If there is criminally relevant behaviour, we will also file a criminal complaint.

We have our internal control system regularly re-certified by external auditors and can therefore provide a SOC 2 Type II certification for the entire EPG according to the SSAE18 standard. SSAE 18 is the internationally recognized standard of the American Institute of Certified Public Accountants (AICPA) for auditing outsourced processes and thus also meets all requirements of the ISAE 3402 standard of the International Federation of Accountants (IFAC), as well as the IDW PS 951 standard of the Institute of Public Auditors in Germany (IDW).

To ensure that inappropriate misconduct is detected as quickly as possible, we at EPG have also implemented a central, confidential whistleblower system through which misconduct can be reported. Contact can be made via an online reporting portal, by telephone, by e-mail or by post. It is also possible to submit information anonymously. Find out more about this on our website under Whistleblower System.

Our commitment to diversity and equality

EPG stands for a respectful, safe, and healthy work environment where diversity, equality, and the well-being of all employees are at the centre. Discrimination is actively opposed, and fair cooperation across all levels is promoted. At the same time, clear occupational safety standards, ergonomic workplaces, and modern protective measures ensure a high level of safety in everyday work as well as a strong team culture that strengthens motivation and cohesion.

Guidelines for Occupational Safety

As part of our health and safety concept at the workplace, we place great importance on the well-being of our entire workforce. In doing so, we adhere to the requirements of the Workplace Ordinance as well as the Display Screen Equipment Ordinance. Our guidelines include in detail:

  • Cleaning of workplaces twice a week by specially trained personnel
  • Safety facilities to prevent risks, e.g., fire alarm box, fire extinguishers, and central assembly points for employees in case of fire
  • Appropriate supplies and equipment for first aid as well as specially trained employees
  • Sufficiently large offices with a pleasant working atmosphere
  • Separate common rooms
  • Each employee has screens, keyboards, and other work tools available according to ergonomic standards
  • Height-adjustable desks

Anti-discrimination guidelines

The personnel and corporate policy of EPG stands for a respectful approach to its employees. In our discrimination-free work environment, equal opportunities for all genders are considered a matter of course. Customers or colleagues, regardless of age, gender, ethnic origin, sexual identity, skin color, or religion, are always met with respect and openness. In this context, it is natural for us to oppose any violation of human dignity. In collaboration with companies or organisations, we also ensure that they uphold and practice our anti-discrimination policies.

Employee Health

Work-life balance at EPG does not mean a strict separation between work and leisure. We create a work environment for our employees where they feel comfortable. Only those who work in a pleasant atmosphere are inspired and motivated.

At our headquarters in Boppard-Buchholz near Koblenz, we have our own gym, where our employees can exert themselves in various sports courses free of charge. The training room is also otherwise available for free use. Regular internal team events, as well as a large joint celebration once a year, strengthen team spirit. It is important to us that our colleagues maintain a trusting contact with each other as much as possible, despite the size of our company. Only in this way can we deliver peak performance for our customers.

Social Commitment and Sponsorship

We are part of society. Our commitment to various initiatives and the promotion of young talent is of utmost importance to us.

For many years, we have been committed to VOR-TOUR der Hoffnung e.V. The charity bike tour collects donations every year that benefit children suffering from cancer and in need of help.

To support the learning and teaching offerings of the gymnasium, we regularly assist the students with donations. This allowed, among other things, the establishment and financing of the robotics club.

An annual donation amount also goes to the Kemperhof Children’s Hospital in Koblenz to support the research and treatment of the tiniest cancer patients.

EPG is the main sponsor of the basketball team EPG Baskets in Koblenz. The 1st men’s team will play in the 2025/2026 season in the BARMER 2nd Basketball Bundesliga ProA.

Since 2025, EPG has been the naming sponsor of the EPG ARENA in Koblenz. This is not only the home venue of the EPG Baskets but also hosts a wide variety of concerts and sports events every year, up to major fairs and breathtaking shows.

The Coblenzer Turngesellschaft 1880 e. V. (CTG), with more than 2,100 members, is one of the largest sports clubs in the Koblenz region and offers over 30 different sports. EPG supports this with a donation to maintain the wide range of offerings.

The Boppard-based Kick for Help Foundation held a gala evening at the Lemabri in 2025. The proceeds from the charity event went to children and youth projects in the Rhineland-Palatinate partner country Rwanda as well as to schools in Kenya.

Thomas Hennecke, Andreas Krake

As part of the VOR-TOUR der Hoffnung, more than 150 cycling enthusiasts participate every year and raise donations for childhood cancer research.

"I have already been involved for many years with the VOR-TOUR der Hoffnung and am all the more pleased that EPG also supports the initiative as a partner. What is particularly nice is that Mr. Hennecke, another colleague from EPG, has already been committed to the VOR-TOUR for many years – even longer than I have."

Data protection at EPG.

Information processing plays a key role in fulfilling our tasks, as all essential operational functions and tasks are significantly supported by information technology. Therefore, the management of EPG companies takes its responsibility for data protection particularly seriously and integrates it into the strategic goals of the corporate group. Our activities are guided by the General Data Protection Regulation of the European Union (EU-GDPR) as well as other applicable regulations and are directed by the following principles:

Integrity and confidentiality

The integrity and confidentiality of personal data are ensured through appropriate technical and organisational measures.

All employees are obliged to maintain data confidentiality and are sensitized to data protection through regular training measures. They are taught the legally compliant handling of personal data.

The technical measures to ensure processing security are implemented and continuously developed by the Information Technology and Product Development departments.

Lawfulness and transparency.

Personal data is processed only in a lawful manner. EPG consistently fulfills its obligations regarding transparency and the exercise of data subject rights.

EPG has a company Data Protection Officer who is the contact person for all interested parties and is responsible for implementing a practical and legally compliant data protection management system.

A company data protection policy ensures uniform standards and procedures within the company, which facilitates the implementation of data protection in daily work. All internal procedures involving the processing of personal data are recorded in a procedures directory, including risk assessments and data protection impact assessments for high-risk procedures.

We also strive for maximum transparency on our online presence. As part of our sustainable digitalization approach, we publish our privacy policy, offer transparent consent management regarding third-party providers (cookies), and use the double opt-in process for email marketing.

According to the EU GDPR, any company that processes personal data on behalf of a customer must conclude a data processing agreement. We enter into such agreements with our customers and relevant service providers to ensure legally compliant cooperation.

Purpose limitation

Personal data is collected, processed, and used exclusively for previously defined, specific, and legitimate purposes. Further processing for purposes other than those originally agreed upon is excluded.

Among EPG’s obligations as a contractor is that data processing may only be carried out according to the instructions of the client.

Data minimization

We collect, store, and process personal data within the framework of the requirements and legal regulations solely for the purpose of carrying out internal and external business processes.

Internal processes include personnel, application, and procurement management. External processes are the provision of services for our core products in the closed system according to customer contracts and Service Level Agreements.

Accuracy

Through regular data reviews as well as the implementation of correction and deletion requests from data subjects, we ensure that the data basis of our corporate group, on which we carry out internal business processes, remains reliable and intact.

In the context of external processes, in which we provide our customers with software products for their handling of logistics services, EPG has no direct influence on the data basis. Through appropriate measures such as authorization concepts, input controls (e.g., plausibility checks), traceability of inputs and transactions, as well as through options for correction and deletion, we enable our customers to keep their data basis factually correct and up to date. Our customers can rely on our advice and support at any time.

Storage limitation

Personal data is only stored as long as it is necessary for the purposes for which it is processed. Storage beyond that for a limited period can only take place if legal or contractual retention requirements demand it.
